Priority is given to LGBT2QI+ individuals and others in the alphabet soup. Allies are encouraged to volunteer with the festivals, however if their contribution to the planning committee is welcomed by all members, they may attend meetings but will be excluded from:
Organization and/or Donor Representation on a Committee
Donor and external organizations may sit on either the Guelph Pride Planning Committee or the Guelph Winter Pride Planning Committee however they will be excluded from:
Training & Orientation
Anti-oppression training will be mandatory for all our volunteers, including our planning committee members. There will be one in-person and/or live online training given before each festival. For those unable to attend the live trainings, a pre-recorded equivalent may be provided.
Guelph Pride Chairs or Co-Chairs become part of the Out on the Shelf Board, as such as are expected to attend Out on the Shelf meetings. Co-Chairs are voted in as a part of Out on the Shelf at the Annual General Meeting, usually in May, or at another time as necessary. A short orientation to the Out on the Shelf board occurs for half an hour after the Out on the Shelf AGM.
Mentorship
Upon request, new members of the Guelph Pride Planning Committee will be connected with established members of the committee with the intention of providing guidance, learning, and mentorship for new or inexperienced individuals, or by those who request such accommodations for any reason.
Supervision & Feedback
Guelph Pride members will work under the coordination and direction of the co-chairs, with a focus on striving for consensus-based decision making. Guelph Pride also operates as a sub-committee of Out on the Shelf, and individuals are able to seek support and resources from both organizations as need be.
At the end of each year, Guelph Pride Planning Committee members will complete a debrief survey, providing feedback to other members on their performance, skills, and opportunities for growth.

All members of the Guelph Pride Planning Committee must agree and adhere to Guelph Pride’s Code of Conduct and the following Agreements: Privacy & Personal Information, Harassment & Discrimination, Multiculturalism/Anti-Racism, Sexual Harassment. Each of the required agreements are found in the Committee application as well as in our "About Us" section.

The structure of Guelph Pride is flexible to need the needs of each year’s committee, however the usual positions are as follows:
- Out on the Shelf
The governing body of Guelph Pride, Out on the Shelf should have representatives on the Guelph pride committee each year. OOTS representatives may fill another role on the committee or solely act as a representative for OOTS. They should plan the OOTS specific events, such as the Open House. - Co-Chairs
The folks at the helm, Co-Chairs split leadership duties of Guelph Pride. They oversee the planning, ensure individuals are accountable to their roles/responsibilities, and coordinate additional support where necessary. They chair meetings and offer guidance to the committee. Additionally, Co-Chairs usually organize the Flag Raising & Community Fair. - Secretary
Individual who focuses on meeting logistics - takes notes at each meeting, books spaces or hosts online meet-ups, emails out meeting minutes after each regular meeting and saves them to an archive on Google Drive. Supports Co-Chairs and the rest of the committee. - Treasurer
Maintains the Guelph Pride Budget, communicates with the Out on the Shelf Treasurer to ensure up-to-date finances are presented at each meeting. Fills in the budget from event organizer’s surveys and sends the final budget to OOTS. - Fundraising Coordinator
Helps raise money and ask for donations/gifts to support Guelph Pride. Can include applying for grants, reaching out to prospects, relationship building with donors, and securing financial support and in-kind gifts. - Marketing & Communications Coordinator
Helps get the word out about Guelph Pride through various channels, including media and promotions. Helps develop and implement Guelph Pride’s promotions and social media strategy with the Social Media Coordinator and the rest of the committee. - Social Media Coordinator
Posts on all Guelph Pride social media accounts, helps promote events, build following, and posts photos from events. - Events Coordinator
Helps coordinate and support event organizers, including assembling event kits and communicating needs of organizers to other coordinators (such as volunteer/financial requests, etc) - Volunteer Coordinator
Recruits and schedules volunteers according to needs indiviated by organizers in event surveys. Maintains communication with volunteers, updates online sign-up, supplies list of volunteers to event organizers as part of Event Toolkits. - Youth/Seniors/BIPOC Community Coordinators
Create funded events for parts of the community which are a priority for Guelph Pride, with the support of the rest of the committee. - Other

- Other issues, as determined by the LGBT2QI+ member’s agreement

Third Party Organizers are the people who are connected to their community and have an idea of what they'd like to see happen, and have the capacity and the know-how to make it happen on their own. Third Party Events are run by independent organizers, but benefit from being listed as a Guelph Pride event on all our programming and promotions. It's our way of supporting those in our communities who are already making cool events happen for LGBT2QI+ folks, as well as those who might not be able to join the planning committee but still have an event they would like to see happen. Third Party Organizers can apply for financial support from Guelph Pride, though this support is usually reserved for Black, Indigenous, or other racialized folks, Youth, and Senior's Event Organizers and at the discretion of Guelph Pride and Out on the Shelf, in accordance with our push towards more accessible and inclusive pride programming, more everyone. Third party events were developed as a way to provide a wider variety of events as part of Guelph Pride while reducing barriers to participation for those unable to join the planning committee. Organizers of third party events take on the responsibility of planning, promoting, and hosting their own independent events during or near the Guelph Pride festival(s). In exchange for agreeing and adhering to the Guelph Pride third party event policy terms & conditions, third party events will be listed as official Guelph Pride events, hosted on the website as well as listed in the Pride program and posters, as well as other benefits of being involved with Pride and any subsequent support such as: assisted volunteer recruitment, paid advertising, and opportunities for financial support for events.

- Event adhering to at least 4 of the 14 points of accessibility for Guelph Pride events (see below)
- Agreeing to the following:
- Organizer(s) must provide a poster and/or promotional materials in order for them to be included in Guelph Pride’s promotion of events, including social media promotions and on the Guelph Pride website, and that failure to submit these by the deadline could prevent the promotion of their event.
- As a third party event organizer, individuals are responsible (but not liable) for the safety and experience of both volunteers and participants of the event, as such they will be accountable to any concerns brought to them or other members of Guelph Pride and work to resolve concerns around safety and accessibility of their event(s).
- Where applicable, by requesting volunteers from Guelph Pride, there is no guarantee that individuals will sign up to contribute to an organizer’s event and Guelph Pride is not responsible for staffing/providing crucial volunteer power, despite Guelph Pride's best efforts to do so.
- Guelph Pride will do it's best to accommodate the organizer(s), their communities, and the success of any third party event, to the degree that their needs are communicated to the committee and it is within Guelph Pride’s capacity to support them. Organizer(s) will do their best to communicate any needs as they arise which they may require support from the committee to navigate.
- That, if for any reason organizer(s) of a third party event are unable to make the event happen, Guelph Pride will not be able to run the event in their absence, and that organizer(s) will notify Guelph Pride of the event's cancellation and update any social media event listings accordingly.
- Organizers and volunteers will act in adherence to anti-oppressive frameworks and work diligently to cultivate welcoming and accepting atmospheres for all community members. This includes adhering to the Guelph Pride anti-discrimination policy, which covers any and all harassment on the grounds of age, race, ethnicity, creed, religion, dis/ability, class, sexual orientation and gender identity.
- Hosting organization or planning committee agrees to send one representative to:
- one Guelph Pride committee meeting,
- the third party organizers pre-pride meeting and
- one post-Pride debrief meeting
(childcare, transportation and accessibility information will be provided to all attendees upon request, debrief can also be made available to be completed online from anywhere)
- That Downtown Businesses may be requested to sign a Secondary Safety Agreement.

If applying online through the published application/forms is not accessible for you, get in touch and we'll work with you to find a suitable accommodation.

For those unable to attend the live trainings, a pre-recorded equivalent may be provided.
